Privacy Policy

Completify is operated by Completify (Pty) Ltd, based in South Africa ("we", "us"). We are the responsible party under the Protection of Personal Information Act (POPIA) for the information described here. Contact: help@completify.co.za.

This policy covers pro.completify.co.za, the Completify dashboard, and the Completify WhatsApp service.

From your organisation's admins and managers: name, email address, phone number, company name, role, and login details.

From team members using WhatsApp: WhatsApp phone number, display name, messages sent to Completify, task details, photos and notes uploaded as proof, and the time and status of each task action.

Automatically: dashboard usage data, device and browser information, and IP address.

From forms on our website: the details you enter when you get in touch.

To run the service: creating, routing, claiming and closing tasks, and showing them on the dashboard.

To verify work: storing photos, notes and timestamps as the record of completed tasks.

To support you: responding to questions and fixing problems.

To improve the product: understanding how the service is used. This is done on aggregated data where possible.

To communicate: sending service notices and, with consent, product updates.

We process personal information to perform our contract with your organisation, to meet our legal obligations, and where we have a legitimate interest in running and improving the service. Where consent is required, we ask for it.

Your employer or organisation decides what tasks are created and who is on the team. For team member data, your organisation is the responsible party and Completify processes that data on its instructions. Questions about how your organisation uses Completify should go to your organisation first.

Completify uses the WhatsApp Business Platform provided by Meta. Messages between you and Completify pass through Meta's infrastructure and are subject to WhatsApp's own terms and privacy policy. Completify is not affiliated with Meta.

When a task is created by voice note or free text, Completify uses an AI service to extract the task details, group and urgency. The content of the message is sent to our AI provider for that purpose only and is not used to train their models.

Service providers who host, store and process data on our behalf, including our cloud hosting provider, Meta (WhatsApp Business Platform) and our AI provider. Each is bound by contract to protect your information.

Authorities, where the law requires.

A buyer, if Completify is sold or merged, under the same protections.

We do not sell personal information.

Data is stored on secure cloud infrastructure. Where data leaves South Africa or Canada, we make sure it is protected to a standard that meets POPIA and PIPEDA.

Task records, photos and notes: for as long as your organisation's account is active, and a short period after it closes, unless your organisation asks for earlier deletion or the law requires longer.

Account and contact details: for as long as the account is active, and afterwards for as long as legal and accounting rules require.

Website enquiries: until we have dealt with them and for a reasonable period after.

You can ask us to confirm what personal information we hold about you, to correct it, or to delete it. You can object to processing and withdraw consent where consent is the basis. Email help@completify.co.za. You may also complain to the Information Regulator (South Africa) at inforeg.org.za, or, in Canada, to the Office of the Privacy Commissioner.
